A delivery window card is the note your driver leaves when nobody answers the door. It tells the customer when you will return, what they can do to change that, and who to contact. Done well, it turns a failed delivery into a completed one. Done badly, it becomes a support ticket, a reschedule, and a second fuel cost on the same parcel.

Most courier operations still hand drivers a generic "sorry we missed you" slip with a blank line for the time. That works until handwriting, weather, or a rushed driver makes the time unreadable. A proper delivery window card is structured so the driver only has to circle or tick, and the customer sees the return window without decoding anything.

Why Most Delivery Cards Get Ignored

The first problem is density. Operations teams keep adding lines: tracking number, depot address, opening hours, a QR code, a legal notice, a redelivery policy. The card ends up as a wall of small type, and the one thing that matters, the return window, sits somewhere in the middle at the same size as everything else.

The second problem is the handwriting gap. If your driver has to write a date and a four hour window by hand on a windy doorstep, half of those cards will be partly illegible. Structured tick boxes with preprinted windows fix this without slowing the driver down.

Decide the Information Hierarchy First

Step 1: Set the Card Size and Stock

The practical size is 4 by 6 inches. It fits a standard door frame gap, stacks neatly in a van door pocket, and prints four to a sheet. If your drivers post cards through letterboxes, 4 by 9 inches gives you room for a tear-off stub the customer can keep.

Design at 300 DPI with a 0.125 inch safe margin, and set up the file in portrait. Specify card stock rather than paper. The heavier weight survives door frames and light rain, and it holds ballpoint ink without bleeding, which matters because your driver will write on it.

If you print in a single ink color to cut costs, design in that one color from the start. A layout built in full color and then converted almost always loses the contrast that made the return window stand out.

Step 2: Build the Return Window Block

This block is the entire reason the card exists. Give it the top third of the card, a solid background bar, and the largest type on the page.

Structure it as a fill-in grid rather than a blank line. Preprint the day labels and the standard time bands your routes actually use, then let the driver tick one of each. Ticking is faster than writing and it never becomes unreadable.

If you operate in more than one language, add a second short line rather than producing a second card. One file per depot is already enough version management.

Resist the temptation to add a redelivery policy, an opening hours grid, or a returns window to this section. Each of those is a legitimate piece of information and none of them belong on the card. They belong on the page the QR code opens, where you can update them without reprinting anything. A card that tries to answer every question answers none of them at a glance, and the glance is all you get.

Then lock the elements nobody should move: the color bar, the logo, the margins, the QR frame. Save the result as a reusable template so the next edit starts from the approved layout.

Step 5: Proof, Print, and Batch

Print one sheet on the real stock, not on office paper. Hold it at arm's length outdoors. If you cannot read the return window instantly, increase the type size and cut something from the reference block.

Test the QR code with two different phones. Then check that the depot phone number is current, because an outdated number on 2,000 printed cards is an expensive mistake. Export a print PDF at 300 DPI and keep a PNG version for your driver app, so the digital and physical versions match.
